ABTA Regional Business Meeting booking terms and conditions

Please read these terms and conditions carefully before booking. You should understand that by booking, you agree to be bound by these terms and conditions.

1.    Your booking  
1.1 To register you must complete the online registration. You will receive a confirmation upon completing the online registration process, if you have not received your booking confirmation within 24 hours, please contact the ABTA Engagement team on engagement@abta.co.uk
1.2 By registering online you have agreed to accept these terms. A contract will exist as soon as ABTA sends you a confirmation of registration.
1.3 Please check the details of your booking carefully and let ABTA know if any information appears to be incorrect. You can update your details using the link provided in your registration confirmation email or by emailing engagement@abta.co.uk
 
2.    What is included? 
2.1 Your booking includes catering, coffee, tea and other refreshments. A presentation summary is circulated after the event. Accommodation and transportation are not included. 
2.2 Venue will be confirmed at least two weeks in advance of the event taking place.
 
3.    Checking your details 
3.1 Please ensure you give us up to date and correct contact details. We will send you important event information such as joining instructions and presentation summary via email. Your name and organisation name will appear on event badges.
3.2 In the unlikely event of a venue change or other such amendment, you will be contacted by email.
3.3 You can update your details via the personalised link sent to you in your registration confirmation email. You can also contact us at engagement@abta.co.uk

4.    Data protection
ABTA is a registered data controller and may collect personally identifiable information relating to you, a delegate, (including your name; employer’s name and address; telephone number; email address; dietary requirements and access requirements and similar). Such information may be collected when you register online or communicate with us by email. You agree and consent to us using all such personal information received by us and to it being processed, as necessary. This includes processing by us, and relevant third parties, for the purpose of administration, statistical analysis, marketing, customer service and feedback, as relevant. Your information may be used to send you relevant marketing and informational material on our products and services. You may ask us to send you a copy of your inform ation being held by us at any time and ask us to remove the same or update/correct it. If you do not wish to receive information about our products and services then please contact us at engagement@abta.co.uk.  
 
5.    Special requests
Special requests and medical problems/disabilities – If you have a disability or medical condition that requires special arrangements to be made, (for example dietary or access requirements), please let ABTA know of your requirements by completing the special requests field at the time of booking or by emailing ABTA at engagement@abta.co.uk
 
6.    Changes/Cancellations
6.1 We can accept substitutions and name changes at any time.
6.2 Cancellations or amendments must be made in writing to engagement@abta.co.uk
6.3 If you are unable to attend, please inform us by e-mailing ABTA at engagement@abta.co.uk, at least one week in advance of the event. If you fail to inform us, then we reserve the right to charge an administration fee of £25 plus VAT for the reserved place. This is at ABTA’s discretion. 
6.4 It may be necessary for ABTA to cancel or postpone an event if insufficient delegates book or for reasons beyond our control. ABTA will not be responsible for any travel or accommodation costs incurred should an event be postponed or cancelled. In the case of cancellation due to insufficient delegates, you will be given at least 14 days notice.
6.5 In exceptional circumstances, it may be necessary for ABTA to alter a venue. You will be notified by email.
6.6 If your attendance is deemed inappropriate, then ABTA reserves the right to cancel your place, at ABTA’s discretion. 

7.    Agenda changes
ABTA reserves the right to change the programme as outlined in pre-event literature and on the website due to unforeseen circumstances.
 
8.    Alcohol
We are unable to serve alcohol to anyone under the age of 18 and reserve the right to ask for identification.
 
9.    Photography
9.1 Attendees at the event may be featured in videos, photographs and/or audio as part of ABTA’s marketing campaigns. By attending the event, you grant us permission to use video, photograph and audio tape footage of you during the event.
9.2 Please notify the ABTA Engagement team (engagement@abta.co.uk) if you would like to have any picture of yourself removed.
These terms and conditions between you and ABTA shall be governed by English Law and both you and ABTA shall submit to the jurisdiction of the English courts.
